Regis Colleges seeks a motivated and talented Alumni Relations and Annual Giving Coordinator to join the Office of Institutional Advancement. This position works collaboratively with all members of the Regis College community to pursue and promote institutional objectives related to alumni engagement, communications, and fundraising. Responsibilities include event planning, effective communication methods, strategic volunteer management, volunteer stewardship, and data/records management.


Essential FunctionsThe Alumni Relations and Annual Giving coordinator works with the Director on the planning and implementation of targeted Alumni Relations and Donor engagement programs and events. This position assists with special projects and collaborates with Regis alumni, donors, students, staff and faculty by buildings relationships and fostering engagement. 


Event Coordination

  • Assist with all aspects of developing, planning and executing alumni and donor events which include Reunion Weekend, Let It Shine gala, regional events, campus events, cultural events, mentoring/networking programs, and other special events designed to engage alumni 

  • Maintain a strong focus on GOLD programming (Graduates of the Last Decade)

  • Assist with event logistics including securing venue, vendors, event registration and payment processing

  • Oversee “post event” process: event reconciliations, post event communications (email, survey, photos), and invoices


Alumni Communications

  • Assist with the development and creation of alumni events and/or class communications including print publications and electronic invitations, programs, postcards, and letters as well as meeting notes and agendas

  • Manage In Memoriam notifications, distributing monthly emails and updating alumni website 

  • Oversee alumni email account

  • Assist Advancement Communications with the collection, compilation, and fact-checking of class notes for the Regis Today alumni magazine  

  • Assist in the mailing of direct mail and e-marketing materials related to alumni engagement and annual giving



  • Manage programming and appeals for the Senior Class Gift fundraising campaign– identifying, recruiting, cultivating, educating, and supporting key student leaders

  • Implement and oversee programs to encourage and increase annual giving from current students and the graduates of the last decade (GOLD) alumni 

  • Solicit gifts from reunion committee members and partner with fundraising colleagues to secure a growing number of annual gifts



  • Support preparation and management of alumni relations budget, including requisitions purchase orders, and P-card reconciliations

  • Assist with office management 

  • Coordinate and maintain office supplies

  • Provide administrative support and assistance for Institutional Advancement activities and programs including alumni event registration and payment processing

  • Answer phone calls from alumni and donors, maintain alumni and event calendars and files, make travel arrangements, schedule internal meetings, and accept gifts, and utilize and maintain shared electronic files

  • Ensure information is entered into Raiser’s Edge or shared with Advancement Services to ensure The Raiser’s Edge record is updated

  • Regularly coordinate with other IA team members to ensure office and phone coverage is always available and work-study and volunteer projects are assigned appropriately.


Supervisory Responsibility

  • Supervises Intern and/or Graduate Assistant, Work-Study Students, and Volunteers




  • Bachelor’s degree or an equivalent combination of education and experience

  • Ability to uphold the University’s commitment to inclusive excellence in a diverse learning community

  • Prior experience in higher education, fundraising, event planning, or marketing preferred with a willingness to stay abreast of trends and best practices in the fields of higher education and advancement

  • Superb customer service and interpersonal skills with the ability to maintain confidentiality of sensitive information

  • Basic accounting skills and the ability to operate various software programs, including Microsoft Office; knowledge of Raiser’s Edge operating systems is preferred

  • Strong verbal and written communication skills, including writing, editing, and proofreading

  • Ability to take initiative and prioritize competing tasks and projects while attending to detail in both team and independent work environments

  • Resourcefulness and strong problem-solving skills 

  • Flexibility to travel and work evenings and weekends as needed  


Working Conditions/Physical Demands

  • Normal office environment, not subject to extreme variations of temperature, noise, odors, etc.

  • May use computer keyboards requiring eye-hand coordination and finger dexterity.

  • Requires work outside of normal hours, including evenings and weekends.

  • May require lifting and carrying of materials.
