  • 3-5 years of relevant job experience planning, coordinating, and delivering successful theatrical, musical, and conference events

  • Additional support outside of regularly scheduled hours, including mornings, nights, and weekends, will be required

  • Must be accessible by personal cell phone during business hours, and occasionally off-hours; phone stipend will be provided

  • Ability to perform physical tasks including operating a lift, climbing ladders and stairs; must be able to individually lift and move equipment up to 50 pounds, and up to 100 pounds with others

  • This is considered an “On-Campus Critical Position”: The employee is required to report to campus to his/her normal work location (or an alternate site if necessary) for non-deferrable work during an emergency closure or curtailment. An employee serving in an on-campus critical position may have to report to work even if the emergency closure occurs during a time that he/she is not regularly scheduled to work.

Additional Qualifications and Skills:

  • Background in higher-education and/or large corporate environments preferred

  • Enthusiastic about delivering exceptional events

  • Strong leadership skills and ability to work in a highly collaborative environment

  • Creative and innovative approach to event planning

  • Proven ability to build working relationships with a broad range of constituencies including faculty, business partners, and vendors

  • Ability to understand how content is most effectively displayed to achieve audience engagement

  • Outstanding communication skills (written and verbal)

  • Ability to create graphical assets for planning purposes or display

  • Ability and desire to capture and maintain accurate technical documentation and knowledge management content

  • Experience in managing and tracking invoices

  • Knowledge of digital signage and IPTV systems, Crestron, Dante, BiAmp, and Evertz

  • Knowledge of IT Infrastructure Library (ITIL) and IT Service Management (ITSM)

  • Knowledge of EMS and/or ServiceNow desired

Additional Information:This role requires that you are onsite at our Boston, MA based campus with a possibility of occasional and infrequent remote and/or hybrid work with the agreement of the manager.

  • Engage in event planning meetings with faculty, staff, students, vendors, and external groups/individuals

  • Plan and ensure successful delivery of complex, high-level events (live, virtual, and hybrid) to include theatrical productions, musical events, and conferences

  • Manage pre/during/post event communications, ensuring any issues or changes that might affect events are escalated or approved through proper channels and documented

  • Directly manage outsourced vendor support and resources; request and review vendor proposals, ensuring they meet customer needs and budget

  • Manage key customer and vendor relationships to ensure exemplary service

  • Serve as an escalation point for customers; work to resolve service delivery issues on an expedited basis

  • Manage many simultaneous work items of changing priority with minimal supervision

  • Responsible for post event recaps, feedback, and insights on all events

  • Collaborate with faculty and staff to recommend and implement solutions and emergent technologies that meet identified business needs

  • Manage client expectations on budget, timelines, technical needs, etc.

  • Deliver on mission of providing outstanding audiovisual services and support at every opportunity, in a demanding climate

  • Monitor and maintain health and stability of audiovisual systems

  • Identify root cause and facilitate the timely resolution of complex, systemic issues

Job Summary:Media Services provides best-in-class support to the HBS global community by connecting campus learning and convening spaces to the world, and by offering comprehensive and innovative audiovisual solutions to our customers.

The Live Events Producer is a member of the Audiovisual Events team, and is responsible for planning, coordinating, and delivering hybrid, virtual, and live events across the HBS Campus. This includes 250+ audiovisual-enabled classrooms, conference rooms, auditoriums, and other convening spaces spread across 35 campus buildings. A focus of the role is on the production and coordination of events in Klarman Hall, an 80,000 sq. ft. convening center. This 1,000-seat facility features immersive and industry-leading technologies, including one of the largest indoor video walls in North America.

The Live Events Producer closely collaborates with stakeholders during all phases of event planning, from concept to day of support, to ensure Media Services has a comprehensive understanding of the technology and support expectations for success.
