Excellent computer skills; proficient or willing to develop proficiency in all aspects of Microsoft (Word, Excel, Teams, PowerPoint) Adobe Creative Cloud (InDesign, Photoshop, Acrobat), FileMaker Pro, and other database programs. Ability to successfully utilize Ellucian CRM Advance and Qlik applications.
Excellent interpersonal, diplomatic, and communication skills are essential. Must be able to develop strong relationships with members of the University community. Able to deal effectively and diplomatically with people from different backgrounds, experience levels, and in all types of situations.
Demonstrates customer/client focus and mastery of customer service skills.
A wide-ranging knowledge of current affairs, particularly in higher education and research, plus curiosity, imagination, and a genuine interest in the ongoing affairs of the University.

Project-based writing, editorial, and design support
Assist with researching, writing, vetting, and proofreading of donor communications including acknowledgments, stewardship reports, recognition materials, etc.
Assist with coordination and creation of custom gifts, including photo book coordination and layout
Manage projects in coordination with teams such as Communications, Academic Donor Engagement, Creative Services, Events, and gift officers.
Collect and manage information for Stewardship reports, such as fact sheets
Manage content for digital communications platform, including populating microsites with stewardship content.
Produce tribute acknowledgments for memorial gifts and fund honorees
Support FAS donor recognition and celebration
Support efforts to provide custom donor experiences for principal gift donors, which may include gift and meeting/event coordination, photo books, and other special projects
Oversee execution of recognition programs including the 1636 Society, Associates Program, Harvard Yard Society (HYS), and In Memory Program
Update 1636 and In Memoriam websites, and HYS wall (digital and/or physical)
Write/edit/review recognition communications
Manage gift ordering and distribution as needed
Manage recognition ThankView videos and monthly sends
Create certificates to honor establishment of new funds upon request
Coordinate design, approval, and installation of physical signage with vendors, gift officers/donors, building managers, etc. in collaboration with stewardship managers. Track named spaces and signage as needed.
Deans Office Coordination
Compile weekly pdf of emails received in the FAS Dean’s alias inbox and deliver to the Dean’s office
Manage delivery and vetting of stewardship reports and acknowledgments with various Dean’s offices
Email stewardship reports and acknowledgment letters on the Dean’s behalf
Provide administrative support
Enter stewardship and acknowledgment contact reports and manage task closures
Electronic and print mail merges and production
Document design and formatting
Data maintenance
Physical and digital file management
Scanning and cataloguing files
Meeting scheduling and logistics
Calendar management
Expense reports
Coordinate team meetings (including team leader schedule), activities, and celebrations
Coordinate team’s Source (intranet) updates and maintain team onboarding documents
Assist with donor stewardship event logistics, reservations, and staffing
Ensure contact reports are uploaded to Advance
Additional expectations
Attend all relevant training sessions and all-staff meetings, and keep current with new technologies and information.
Provide excellent customer service to internal staff members and external clients, such as donors and/or alumni.
Assist in the training, scheduling, work distribution, and space needs of students and temporary workers.
Adhere to all departmental and University policy and procedures.

As a member of the FAS Donor Relations team, this full-time non-exempt position reports to the Senior Associate Director of FAS Donor Relations. The position supports a broad spectrum of donor relations programs and projects, with tasks including writing, editorial, formatting, document layout, and content management for a digital communications platform. The role implements and coordinates FAS recognition program activities and supports efforts to provide custom individual donor experiences, which may include publication and gift coordination, website updates, event and meeting coordination, recognition signage, and photo book creation.
