Job Description:

About the Role:

The Customer Experience Team is looking for a Marketing Project & Resource Coordinator who excels at managing lots of logistics and collaborating with multiple stakeholders to keep our marketing projects, product launches and core initiatives programs running smoothly, on time and on budget.

Working closely with brand management, channel managers, and other departments, you will play a critical role in bringing our programs to market. You'll also help institute best practices in processes to improve efficiencies in project management and ensure the smooth production and quality of deliverables.

The role is client facing so accountability and approachability are also important traits.

What You Will Do:

  • Create detailed schedules/project plans, set milestones with deadlines at each stage of the project, and make sure that this is communicated, updated, and understood by the teams.

  • Develop strong relationships with internal and external departments within the organization -being friendly, energetic, and detail-oriented in actions.

  • Act as a liaison between product management, program management, channel, and brand teams to drive product launch commercialization project plan timelines, dependency delivery and milestone completions through project plan set up and management in project plan system (

  • Responsible for keeping the project management system (Wrike) up to date so reporting and dashboards are current.

  • Lead the weekly brand and channel meetings to make sure new projects are kicked off and alignment on existing projects.

  • Work closely with the Brand Director and Brand Managers (Creative Services, Digital, Social & PR) to assign teams, identify projects and milestones, communicate delays and projects changes.

  • Develop processes, documentation and training to provide integrated marketing plans and meet project needs.

  • Develop capacity models and marketing ops processes and reporting for continued improvement, efficiencies, and accuracy.

  • Develop, lead and document regular work sessions with cross-functional teams to ensure milestones are met, including adjustments as needed to maintain the integrity of the project plan.

  • Provide recommendation when several viable options are available to achieve goals and objectives.

  • Assess and communicate risk and opportunity throughout process to maximize success.

  • Serve as a single point of contact for projects to maintain progress and updated status.

  • Responsible for assessing incoming project requests, in terms of priorities, capacity and timing. Works with team members to assure team assignments align with priorities and priorities align with department leaders. Raises concern when competing priorities are impacting success.

  • Track projects through completion, assuring teams are progressing on tasks, critical inputs are provided, and milestones are met. Raises concern with team leaders when projects are at risk of missing deadlines or going over budget.

What You Need to Succeed:

  • Creativity is not a requirement, but, a proven understanding of the creative process along with marketing projects and partnership with designers, marketers (digital and traditional) and internal clients is preferred.

  • Experience in project plan development, resource planning and project management for a creative team or at an agency is preferred.

  • Proven demonstration of excellent communication skills, organizational abilities, and attention to detail.

  • Proven track record with working with ambiguity, multiple projects often at the same time.

  • Ability to effectively work in a remote working culture.

  • Proficient with MAC and/or PC experience.

  • Highly skilled with online project management systems.

  • Proficient with Microsoft Suite

  • Proficient with Content Management Systems (CMS) and Adobe Creative Suite is a bonus.


$49,420.00 - $75,600.00 - $91,780.00 USD Annual
