Description: Executive Office of Energy and Environmental Affairs (EEA) is seeking aFront Desk Administrator. The EEA Front Desk Administrator Assistant assists the Facilities Management Department of the Executive Office of Energy and Environmental Affairs with the day-to-day operations and responsibilities of the EEA Front Desk Coverage among other administrative duties as assigned. The EEA Front Desk Administrator Assistant is a key operational supporting role for the Facilities Department, Executive Team and all agencies headquartered at 100 Cambridge Street, Boston, where EOEEA and several of its Agencies occupy four floors. Duties and Responsibilities: * Greeting and Welcoming Guests: Front desk employees are the first point of contact for visitors, constituents, and the public. They greet individuals as they enter the reception area and create a positive first impression. Answering Phones: Handle incoming calls, direct calls to the appropriate person or department, take messages, and provide information to callers. * Managing Visitors Registrations: Front desk employees are responsible for the registration of visitors, to notify hosts of the arrival of their visitors and communicate any changes to relevant parties. Access Cards: Front desk employee securely holds new access cards, bike room keys and distribute them to employees. Fleet Management / Bolt reservations: Front desk employee oversee and keep safe the fleet vehicles keys. Employee will confirm reservations are made prior to handling out keys, keep track of fleet users and the track the return of vehicles keys. * Handling Emergencies: Trained to respond to emergencies, front desk attendants are responsible for contacting and guiding the appropriate emergency response teams through the space. Provide emergency response teams with the reservations of in-person personnel daily roster. In the event of an emergency evacuation, front desk employees are tasked with meeting with all employees at the assembly area and take attendance per the daily roster. * Assisting with Administrative Tasks: Front desk employee may be involved in various administrative tasks, such as sorting mail, scanning mail and distributing as required; handling packages, receiving, and signing off for packages, alerting recipients or purchasing agents’ packages are in receipt and working closely with the main mail copy print center staff. Attendants keep the front desk area tidy and organized, creating a professional and welcoming environment. Providing excellent customer service is a key responsibility, requiring attendants to be courteous, patient, and helpful in addressing the needs of visitors and employees. * Work Orders: Assist via Building Management Software, with the submission of work orders for services required for Janitorial, Pest Management, Electrical, HVAC, Plumbing, Restrooms, physical repairs of the EEA and its agencies occupied spaces and adjacent common areas as assigned. Front desk attendants often need to handle multiple tasks simultaneously, such as answering phones while assisting a guest or managing mail deliveries. * Assist with the Reservation System and daily and/or weekly reports to the Facilities Director and Deputy Director as required and performs other related duties as assigned. Preferred Qualifications: * * Customer Service experience. * Microsoft Office 365 experience * Proactive, flexible, and committed to working with employees and visitors to provide a high level of timely, courteous, and professional assistance, while ensuring a positive, welcoming experience for all involved. * Willingness to learn. *First consideration will be given to those applicants that apply within the first 14 days. Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
