An executive assistant in Sales and Marketing performs diverse administrative functions requiring extreme confidentiality, initiative, sound decision-making, attention to detail, high energy, and flexibility in line with a high-paced deadline driven team. Excellent organizational skills and the ability to effectively handle multiple priorities is important for this role. You will need to adapt to procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals. This role regularly interacts with senior management. You will need to exercise independent judgment, escalating serious or unique problems. This role supports a busy senior Managing Director and team.
Manage complex and busy calendar and meeting coordination
Organize all aspects for offsite conferences and external events,(virtual and in-person) including catering and transportation
Process invoices, and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter experts for policies and procedures
Arrange and coordinate complex domestic and international travel
Handle regular activities without prompting and advise in advance with issues or delays
Work cooperatively with the administrative assistants and leadership in positive partnership to support each other smoothly
Lead and coordinate on ad hoc projects as requested
At least 5 years of administrative experience supporting all levels through managing director
Tact and good judgment in confidential situations and proven experience interacting with senior management
Strong interpersonal, written, and oral communication skills
Strong Outlook calendar and meeting management skills
Experience processing complex travel and expense
Proficiency within the Microsoft office Suite
Excellent telephone etiquette and ability to manage competing priorities
