Now, our Alumni Relations team is looking for a Director who will conceptualize, plan and execute a robust calendar of alumni events throughout the calendar year.

Alumni Relations at Boston University

Alumni Relations at Boston University is responsible for connecting with, engaging, and helping foster lifetime connections with the 350,000+ Boston University Alumni across the globe. Alumni Relations is the first point of contact for alums looking to reconnect or engage with their alma mater through educational programs, special events, Alumni Weekend, Global Days of Service, Career and Business networking, volunteer opportunities, and Affinity Networks.

Director, Events & Programs

As a senior member of the Alumni Relations team, the Director oversees signature events, regional events in key markets, volunteer coordination, and engage alumni to strengthen the BU global network. In addition to spearheading alumni signature events such as Alumni Weekend, Best of BU Alumni Awards and Global Days of Service, the Director also leads a team of full-time and student workers, liaises with selected volunteer leaders as needed, and provides event support to all BU alumni programs with event components.

The Director must be able to independently create, produce, and manage alumni events, flawlessly executing them through detailed planning. Other duties include budget creation and management, policy implementation, marketing and collateral, negotiation of vendor contracts and fulfillment, personnel administration, data management, ability to communicate event ROI and volunteer oversight. Additionally, the Director must effectively interact with volunteer leaders, College/School Assistant Deans, campus partners, and other DAR managers and directors.

Responsibilities:

Event Management:

  • Plans, implements, and manages BU Alumni Association events and programs

  • Determines goals and strategies for BU Alumni Association events. Manages day to day operations.

  • Oversees and aids in the execution of events on-site and virtually.

  • In coordination with the alumni communications/marketing team and/or Development Communications, plans, writes, edits, produces, presents, and distributes publications and other informational materials for both in person and virtual events.

  • Collect and analyze data that measures event participation/engagement to inform strategic planning of events and programs with the Executive Director and the Vice President for Alumni Engagement.

  • Provides feedback to the designated colleagues and vendors on the customized event registration system and works on troubleshooting the user experience.

  • Develops and manages events and program area budget(s). Provides projections and reports for budget development and administration purposes. Responsible for accurate management of events and related budgets.

  • Screens, hires and oversees work of numerous outside vendors required to effectively complete assignments.

  • Develops and manages a robust events calendar that is alumni focused and identifies opportunities to engage schools in interdisciplinary events featuring school leaders. Determines schedules and deadlines. Ensures successful, timely completion of programs and projects. Develops and produces reports of Alumni Association event activities for university and/or department use.

    Leadership:

  • Directly supervises all assigned staff. Recruits, screens, hires and trains staff. Evaluates employee performance and provides guidance and feedback to assigned staff. Counsels, motivates and/or manages staff performance employees as required.

    Other:

  • Represents University or department at professional meetings, conferences, seminars and other events. Develops and maintains contacts with University officials, media representatives, community leaders and professional colleagues. Maintains currency with professional organizations and publications.

  • Requires semi-frequent out-of-town and weekend travel.

  • Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time.

Required Skills

  • Master's Degree

  • 8+ years of work experience, including a minimum of five years of experience in alumni relations with demonstrated success in leading complex programs, preferably in an institution of higher education.

  • Excellent event planning skills

  • Outstanding organizational, oral & written communication, and presentation skills are required.

  • Experience managing a large diverse team of professionals performing in a fast paced, deadline driven environment with ability to motivate, grow, and retain high performers.

  • Strong ability to prioritize and adapt to changing needs as well as collaborate amicably with a wide range of volunteers.

  • High level of attention to detail and the project management components of the position.
