Director, Gifts & Records

Job Scope

The purpose of the Department of Gifts & Records is to optimize and maintain data integrity for the biographical records of its constituency (over 1.2M records), and manage the recording of gifts (an average of 50,000 transactions a year). The Director leads the team responsible for the daily operations of all aspects of the Gifts & Records. This position is responsible for the maintenance, management and data integrity of the alumni database consisting of biographical records and all gift/pledge transactions housed in Blackbaud’s eCRM System (BBEC). This position provides end user support for the entry and access of gift and biographical data. The Director will identify and put in place system enhancements especially automation that will increase both accuracy and data thru-put. He/she will write all detailed functional specifications and test all new systems programming and work with Development and University staff to establish and maintain BBEC programming priorities, and will produce internal and external reports on gifts to the University and income projections for the DAR Leadership to evaluate the success of the fundraising campaign.

Functions

  • As the senior member of the Gifts & Records team, the Director is responsible for leading a team that oversees the accuracy of approximately 1.2 million constituent records and processes nearly 60 thousand transactions annually.

  • Serves as DAR’s liaison to numerous offices across the University that include but is not limited to, the Treasury Office, Comptroller’s Office, General Accounting and Office of Sponsored Programs.

  • Manage the automated production through BBEC of semi-annual Campaign Commitment Reports, semi-annual Pledge Status Reports and annual Fund Financial Reports for all endowed gift funds.

  • Continually update team production standards for minimum quality and processing time of all functions related to the office ensuring that all IRS and Massachusetts regulation pertaining to the processing and receipting of all gifts are met. Skillfully and tactfully speak with donors and their representatives regarding issues of receipting, recording and gift crediting. Will be expected to have or quickly develop a thorough understanding of gift and pledge recording in alarge organization, IRS gift regulations, accepted peer and CASE standards and procedures and BBEC processes and procedures.

  • Participate as a key member of the DAR Applications Change Management Board overseeing enhancement review and acceptance testing for all BBEC modifications that relate to the functions of the Gifts & Records Office. Handle all procedural questions and complaints about the system from internal and external sources. Represent the office on various committees on system upgrades, document storage, document imaging web-based data.

  • Continue to improve reporting through ongoing automation with BBEC Required Skills

Qualifications Candidates must have 5-8 years of experience, and a bachelors degree is required with a masters degree preferred. In addition, strong analytical, communication and organizational skills are essential. Experience in an institution of considerable complexity and previous managerial experience is required.
