Now, our Planned Giving team is looking for an Assistant Director who will develop and implement a comprehensive marketing plan for Boston University’s 17 schools and colleges in coordination with external vendors and Development Communications team.

The Planned Giving office functions as a frontline fund-raising team that focuses on securing alumni gift commitments through estate plans, trusts and other entities as well as helping donors who wish to gift non-traditional assets, e.g. real estate, privately help securities, artwork, etc.

Assistant Director, Planned Giving Marketing & Gift Administration

The Assistant Director of Planned Giving Marketing and Gift administration requires a diverse skill set developed through planned giving marketing, prospect qualification, gift processing and administration, and stewardship experience. The Assistant Director will coordinate with development officers across the University to develop and support school-based planned giving marketing initiatives. The incumbent will develop and implement annual stewardship plan across multiple channels in addition to organizing and managing events for legacy society. This position is responsible for directing and supervising administration of all planned gifts including bequests, life income gifts and other estate gifts as well as serving as an adviser for information concerning planned gifts to prospects, donors, and DAR staff. In partnership with the Director, the Assistant Director will coordinate and present internal training modules to various DAR departments.


  • Provide strategic planning for an integrated, comprehensive marketing and communications plan for Planned Giving. In partnership with the Director execute the design and coordination of internal and external marketing efforts including external and internal communication, publications, advertising, direct mail, electronic and internet marketing, website content development and maintenance. Track and analyze existing marketing efforts and recommend changes to improve effectiveness. Act as the point person in working with DAR colleagues and external vendors. Collaborate across BU’s schools and colleges to develop effective Planned Giving marketing materials and campaigns using a variety of media and formats.

  • Develop innovative stewardship plan designed to increase Claflin Society membership and existing member engagement. Deliver thoughtful and appropriate stewardship through several media channels: birthday cards, holiday cards, coordinating testimonials, e-mail blasts payment letters and event invitations. Organize and manage events for legacy society including annual tea and lunch. Collaborate with Alumni Relations to offer legacy society members complimentary access to Alumni Weekend Events.

  • Serves as primary contact for planned giving donors (Claflin Society members) to address matters including answering questions about existing gifts, updating bio information, etc. Supervise gift administration to ensure that all planned gifts are properly acknowledged, distributions for life income gifts are made correctly and on time, and funds are directed to their intended purposes (for example for scholarship and award funds).

  • Responsible for estate administration. Serve as primary contact for estate planning attorneys and personal representatives. Coordinate with estate, Gifts and Records, Stewardship and Donor Relations, and Financial Affairs to ensure funds are received in a timely manner and directed to their intended purposes.

  • Manage accuracy and integrity of the Planned Giving Database (using GiftWrap software and the University-wide alumni database) and prepared periodic reports on deferred gift activity.

  • Enhance relationships with Office of the Treasury for administration of charitable gift annuities, charitable remainder trusts, and other life income gifts. This includes overseeing periodic payments and providing information to the Office of the Treasury related to the tax reporting of annuitants.

  • In partnership with the Director, coordination and presentation of internal training modules to various DAR departments.

Required Skills

A cover letter is required for consideration.

  • Bachelor’s degree

  • 3-5 years of project management experience, with a preference for knowledge of inbound marketing strategies and experience managing outsource partner relationships

  • Familiarity with bequest and planned gift administration.

  • Related experience in trust administration or financial services would also be considered.

  • Advanced written communications, attention to detail, analytical skills and collaboration skills are required.
