Summary of Responsibilities Accounts Payable Management: Control and streamline all vendor payment activities. This includes, without limitation, reviewing and verifying invoices and reimbursements from vendors/landlords/colleagues, processing timely payments using various methods, reconciling AP records with the general ledger, maintaining clear communication with vendors and employees, and continually improving AP processes. Expense Management & Accruals Control: Accurately track and manage operational expenses. Responsibilities include monitoring and categorizing expenses, performing variance analyses, ensuring compliance with policies and accounting standards, and improving expense management processes. Vendor Oversight: Maintain efficient vendor relationships and ensure seamless data exchange. This includes, without limitation, managing vendor master data and relationships, overseeing EDI systems for efficient transaction processing, resolving disputes, ensuring smooth system integrations, and reporting on vendor performance. Systems Integration, Reporting & Automation: Implement and maintain integrated financial systems that support both operational and strategic decision-making. This responsibility covers selecting and integrating AP system(s) with the third-party ERP, automating routine processes, developing operating and strategic reports for management, producing ad hoc financial statements, and continuously improving data flow and reporting accuracy.

Working Conditions / Essential Functions

  • Must be able to read and understand written English, including system alerts, reports, and email communications.

  • Must be able to communicate verbally in English for team meetings and vendor interactions.

  • Must be able to work in a standard office environment that may occasionally be crowded during peak periods.

  • Must be able to work at a computer to perform most duties.

    Position Requirements

  • Experience & Education:

  • 3+ years in managing AP in fast-paced, multi-entity settings

  • Bachelor’s degree in accounting, finance, or related field (preferred)

  • CPA or equivalent certification is highly desirable

  • Technical & Analytical Skills:

  • Proficiency with accounting systems and AP automation tools

  • Advanced Excel skills (macros, pivot tables, VLOOKUPs)

  • Familiarity with financial reporting tools (e.g., Quicksight) and systems like FloQast, Bill.com, or Mineral Tree is a plus

  • Ability to analyze complex data and produce timely, accurate reports

  • Process & Systems Management:

  • Proven track record in managing AP systems and driving automation initiatives

  • Ability to coordinate with IT/systems engineering for seamless data integration and reporting

  • Communication & Problem-Solving:

  • Excellent verbal and written communication skills

  • Strong attention to detail and proactive in resolving discrepancies

  • Ability to handle sensitive financial information with discretion

  • Work Environment & Physical Requirements:

  • Able to work independently in a dynamic, fast-paced office environment

  • Comfortable working at the Boston corporate office, with the ability to sit or stand for extended periods

  • Willing to take on cross-functional responsibilities and collaborate with multiple teams

    Preferred Skills

  • Accounting principles, standards and systems

  • Data visualization & business intelligence (e.g., advanced Quicksight)

  • Financial modeling & forecasting are preferred

  • Experience in public/multi-entity companies

  • Accounting certifications are preferred but not required

  • Adaptability in fast-paced, complex environments

  • Strong organizational and multitasking skills

  • Effective cross-functional collaboration and communication
