Job Summary

Responsible for managing the workflow of communications projects from initialization through completion for clients & staff. Maintains, adjusts and updates project plans as needed. Oversees internal fee structure and client billing as needed. Works with clients to ensure satisfaction and manages flow of work between communications staff and client to meet project goals.

Essential Functions

Provides leadership in areas of project management system best practices, standard procedures and policies for the department. Enters, tracks, builds, and maintains project plans using project management system (Wrike) including client review and approval.

Serves as liaison on select projects, responsible for implementing and maintaining project plans, timelines, client communications/feedback, and project updates. Writes status reports throughout the duration of projects to keep clients and client services manager updated.

Works collaboratively with communications staff and coordinates all project activities to ensure projects are executed within project timeframe and scope.

Makes decisions independently on behalf of both the client’s goals and the university communications process.

Proactively initiates annual recurring projects to benefit both clients’ and university communications team scheduling needs

Schedules and coordinates meetings, prepare agendas, in consultation with Client Services manager prepares and distributes meeting recap and action items to stakeholders.

Manages the department’s fee structure and client billing, working closely with UR business manager ensuring all invoicing is timely and accurate.

Responsible for proper archiving of completed work

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

Bachelor’s degree: communications, marketing, business or a related field.

3 years experience in project management, marketing, communications, advertising, or public relations or a related field.

Strong organizational, project management and workflow coordination skills

Experience with project management systems (such as Wrike)

Working knowledge of content management and file sharing platforms (such as BOX)

A capacity for a high degree of independent action and initiative, including the ability to establish priorities and manage multiple complex tasks in a fast-paced environment while meeting defined goals and deadlines

Excellent written and verbal communication skills and demonstrated ability to work effectively in team settings with diverse groups of people

Ability to provide clear direction to small groups and to be “service oriented”, focusing on customer needs while maintaining university brand standards

Knowledgeable in MS office, Microsoft Word, Power Point and Excel as well as the Adobe Creative Suite.

A willingness to learn other skills used in web design and maintenance
